About the role

The Project Administrator position at BanyanGlobal owns the project management of client projects for the internal project teams. This position also provides high-level administrative support to assigned Partners and Principals.

What you’ll do

  • Act as the project manager for assigned project teams and for assigned Partner(s) and/or Principal(s)
  • Schedule and participate in client and project team meetings; record and send meeting notes and action items to project teams
  • Track project deliverables to ensure project teams remain on schedule and on budget; communicate progress to all team members
  • Prepare and deliver client surveys, run data analysis, and provide analysis read-out to project teams
  • Prepare, edit, and proof a wide range of project documents including, but not limited to, project work plans and proposals, presentations, interviews, call schedules, meeting materials, and other documents as assigned by the project team and/or the COO
  • Interact with our clients and their administrative team
  • Conduct research and prepare briefs for the project teams
  • Work with other members of the professional staff to ensure a smooth proposal review process
  • Manage calendars of assigned Partners and/or Principals
  • Arrange heavy domestic and international travel and create comprehensive itineraries
  • Prepare weekly time and expense reports for assigned Partners and/or Principals
  • Contribute to the overall operations of the firm by serving on firm committees and recommending ways to improve our operations and services
  • Other duties as assigned

What you’ll bring

  • College degree or equivalent
  • 3-5 years’ experience with project management
  • 3+ years executive level admin experience
  • Exceptional project management skills
  • Exceptional written and oral communication skills and strong ability to proofread, edit, format, and serve as a final quality control checkpoint
  • Strong interpersonal skills and good judgment in filtering and directing information
  • Professional, positive, friendly manner
  • Able to deal with multiple complex tasks
  • Team-oriented and proactive, with a strong work ethic
  • Self-starter and able to work with limited supervision
  • Detail-oriented and well-organized; excellent time management skills
  • Collaborative with an eagerness to continuously learn
  • Proficient with a Mac operating system
  • Advanced capabilities in Microsoft Office suite and an interest in learning new systems
  • Able to maintain a high degree of confidentiality on firm and client matters

Reports To

Boston;  flexible  / temporarily remote

Days and Hours
Full-time; occasional communication required outside normal business hours

Position is exempt and commensurate with experience
