Project Administrator

About the role

The Project Administrator position at BanyanGlobal provides administrative support for the Project Management team and the Partner Group. This position will also maintain Banyan’s Boston office space and resources.

What you’ll do

  • Arrange heavy domestic and international travel for Partners and create comprehensive itineraries
  • Prepare and submit weekly time and expense reports for Partners
  • Maintain internal resources for the Project Management team (e.g. Box folder with templates and resources)
  • Schedule internal meetings
  • Prepare and deliver client surveys, format and proof client documents, and conduct research for client teams
  • Maintain the Boston office space: greeting visitors, maintaining supplies, managing catering needs, etc.
  • Provide internal systems support as needed (e.g. maintain office equipment, Zoom equipment, etc.)
  • Order IT equipment and provide IT support for client meetings as needed
  • Provide support for firm meeting and events
  • Provide administrative support for Banyan’s COO
  • Other duties as assigned

What you’ll bring

  • College degree or equivalent
  • 2- 3 years executive level admin experience
  • Exceptional written and oral communication skills and strong ability to proofread, edit, format, and serve as a final quality control checkpoint
  • Strong interpersonal skills and good judgment in filtering and directing information
  • Professional, positive, friendly manner
  • Able to deal with multiple complex tasks
  • Team-oriented and proactive, with a strong work ethic
  • Self-starter and able to work with limited supervision
  • Detail-oriented and well-organized; excellent time management skills
  • Collaborative with an eagerness to continuously learn
  • Proficient with a Mac operating system
  • Advanced capabilities in Microsoft Office suite and an interest in learning new systems
  • Able to maintain a high degree of confidentiality on firm and client matters
