Project Administrator

Position Overview

The Project Administrator position at BanyanGlobal provides high-level administrative support to assigned Partners and back-up support to other Partners and Principals, as needed. A key part of the role is to ensure our client projects run smoothly. The Project Administrator oversees and performs project management activities to support and provide leverage to our project teams.

Location: Boston, MA

Reports To: Chief Operating Officer

Days and Hours: Full-time; occasional communication required outside normal business hours

Compensation: Position is exempt and commensurate with experience; excellent benefits

Duties and Responsibilities

  • Schedule and participate in client and project team meetings; record and send meeting notes and action items to project teams
  • Track project deliverables to ensure project teams remain on schedule and on budget; communicate progress to all team members
  • Prepare and deliver client surveys, run data analysis, and provide analysis read-out to project teams
  • Prepare, edit, and proof a wide range of project documents including, but not limited to, project work plans and proposals, presentations, interviews, call schedules, meeting materials, and other documents as assigned by the project team
  • Interact with our clients and their administrative team
  • Conduct research and prepare briefs for the project teams
  • Work with other members of the administrative team to ensure a smooth proposal review process
  • Manage calendars of assigned Partners and/or Principals
  • Arrange heavy domestic and international travel and create comprehensive itineraries
  • Prepare complex weekly time and expense reports for assigned Partners and/or Principals
  • Contribute to the overall operations of the firm by serving on firm committees and recommending ways to improve our operations and services
  • Other duties as assigned

Required Education, Experience, and Skills

  • College degree or equivalent
  • 3-5 years experience with project management or administration preferred
  • 3+ years executive level admin experience
  • Exceptional written and oral communication skills and strong ability to proofread, edit, format, and serve as a final quality control checkpoint
  • Strong interpersonal skills and good judgment in filtering and directing information
  • Professional, positive, friendly manner
  • Able to deal with multiple complex tasks
  • Team-oriented and proactive, with a strong work ethic
  • Self-starter and able to work with limited supervision
  • Detail-oriented and well-organized; excellent time management skills
  • Collaborative with an eagerness to continuously learn
  • Proficient with a Mac operating system
  • Advanced capabilities in Microsoft Office suite and an interest in learning new systems
  • Able to maintain a high degree of confidentiality on firm and client matters
  • Fluency in a foreign language (Spanish, Portuguese preferred) is highly desirable but not required
